How to Set Up Team Accounts in SureMembers

Team Accounts are enabled per membership, so you decide which plans are team plans and which stay single-user. This guide walks you through turning it on, setting seat limits, offering different team sizes, and managing teams from the admin side.

This is a premium feature, available in the Pro and Business plans of SureMembers.

Enabling Team Accounts on a Membership

  1. Go to SureMembers > Memberships and open (or create) a membership.
  2. Find the Team Account Settings section.
  3. Turn on Enable Team Management.

Once enabled, two more settings appear:

Choosing How Members Can Be Added

  • Manual & Invite Link (default): The owner can add people directly or share an invite link. This is the most flexible option.
  • Manual Only: The owner adds people themselves by entering an email address or importing a CSV file. No public invite link is shown.
  • Invite Link Only: The owner can only share an invite link. They cannot add people manually.

Tip: Manual & Invite Link suits most cases. Use Invite Link Only when you want people to self-serve, and Manual Only when the owner should personally vet everyone before they join.

Once someone purchases a team-enabled membership, SureMembers automatically creates their team, makes them the owner, and gives them the seat allowance you configured. You don’t need to do anything manually after the purchase.

Selling Different Team Sizes with Variations

Sometimes you want to sell the same access at several team sizes, for example a Team Plan available as a 5-seat, 10-seat, or 15-seat option at different prices. Instead of rebuilding the membership for each size, create variations of one membership.

A variation shares all of the original’s protected content, drip, downloads, roles, and access rules, and these stay in sync automatically. It only differs in team size and how members can be added. This means you edit your protected content in one place, the original (parent) membership, and every variation updates with it.

Use variations when you offer the same content at different seat counts. If each of your plans protects different content, create separate memberships instead.

Before You Begin

  • A membership can only have variations once Team Accounts is enabled on it.

Steps:

  1. Go to SureMembers > Memberships.
  2. Find a team-enabled membership and choose Create Variation from its row actions.
  3. Set a variation name, or leave it blank to auto-name it from the parent and seat count.
  4. Set the Maximum Team Members for this variation.
  5. Set how members can be added for this variation.
  6. Click Create Variation.

Variations appear grouped under their parent membership in the memberships list. Opening a variation shows its content settings as read-only, since these are inherited from the parent; only the team settings can be changed. Customers who buy a variation become team owners exactly like any other team membership.

Note: A parent membership that still has variations cannot be deleted or archived. Remove or detach its variations first.

Managing Teams from the Admin Tab

Go to SureMembers > Team Accounts to view every team across every membership in a single table.

Navigate to SureMembers > Team Accounts.

From here, you can:

  • Search teams by owner name or email.
  • Filter by status (Active or Inactive) or by membership.
  • View each team’s owner, membership, seat usage, created date, and status.
  • View team details, activate, deactivate, or bulk activate/deactivate teams.

Deactivating a team suspends all its members and revokes their access, while keeping the owner’s own access intact. You can restore everyone’s access later by reactivating the team. This is the safest way to temporarily pause a team, for example if a payment fails, without losing any data.

Viewing a Single Team’s Details

Click View Details on any team to open its complete profile.

Here you’ll find the owner’s name, email, and status, along with a summary of their membership, seats used, and creation date. You’ll also see a shareable invite link with a Copy button, and a table of every team member showing how and when they joined.

From this page, you can perform these actions on a member:

  • Make Owner: Promotes a member to become the new team owner. The previous owner becomes a regular member. Both users keep their access.
  • Remove Member: Removes the member from the team and revokes their access. Their WordPress user account remains on the site.
  • Export CSV: Downloads the complete member list as a spreadsheet.

Note: A team must be deactivated before it can be deleted. Deleting a team is permanent and removes the team and its member records, though the owner keeps their own access.

Setting Your Team Account Pages

Found under Settings > Team Account Pages, this lets you choose which pages act as the Team Dashboard and the Team Registration page.

SureMembers creates and fills these in for you automatically. You only need to change them if you build your own custom pages.

Setting Up Team Account Emails

Go to SureMembers > Email and look for the Team Account Emails section.

Find SureMembers > Emails > Team Account Emails

There are four emails available, each with its own toggle, subject line, and content editor:

Note: When a brand-new person joins through an invite link, they also receive a separate “Confirm your team membership” email so they can verify their address. This confirmation email is transactional and always sent. It has no on/off toggle and isn’t one of the four templates above.

For each email, you can turn it on or off, edit the subject line, and edit the content with a rich-text editor that supports bold text, lists, links, and images. You can also send yourself a test email to preview it before it goes live.

Use merge tags to personalize the content. Each email editor shows a clickable list of the merge tags available for that email, along with a one-click Copy button.
