SureMembers Email Notifications
SureMembers can send automatic emails to your users.
These emails are useful for things like helping users reset their passwords, welcoming new users, or letting them know when access has been granted. You can turn these emails on or off, change the subject line, and edit the content to fit your site.
Types of Emails
SureMembers can send three kinds of emails:
- Password Reset Email Sent when a user asks to reset their password.
- New User Onboarding Email Sent to new users if they are added in bulk with a CSV file in SureDash Settings. (Note: This email does not send to users added through WooCommerce, SureCart, or other platforms.)
- Access Granted Email Sent when a user is added to an access group to confirm their new access
Initial Settings
Before enabling email templates, configure the default sender details:
- From Name: The name that will appear as the email sender (e.g., Your Site Name).
- From Email: The email address that sends notifications (e.g., [email protected]).
How to Modify Emails
- Go to the WordPress Admin Dashboard → SureMembers → Settings → Email Templates.
- Choose which email type you want to configure:
- Password Reset Email – toggle Enable to activate.
- New User Onboarding Email – toggle Enable to activate.
- Access Granted Email – toggle Enable to activate.
- Edit the Subject Line and Email Body to match your brand and tone.
- Use rich text formatting (bold, italics, links, etc.) for styling.
- Insert shortcodes to personalize each email.
Note: The New User Onboarding Email is only sent when you add users in bulk using a CSV upload in SureMembers Import Settings. It will not send emails to users who are added through WooCommerce, SureCart, or any other eCommerce or automation platform.
Using Shortcodes
Each email template has a dropdown called Copy Shortcodes. These shortcodes pull live data from WordPress and SureMembers, so each user gets a personalized email.

Simply copy a shortcode and paste it into the email body or subject line.
Testing Emails
At the bottom of each email template, you’ll see a Send Test Email option.
- Enter your email address.
- Click Send.
- Check your inbox to confirm the design and content look correct.
Note: Shortcodes don’t work in test emails. They’re only replaced with user details in live emails.
Deliverability Notes
SureMembers emails are sent directly from your WordPress site, so deliverability depends on your server setup.
- For best results, set up SMTP using a plugin or service like SureMail. This increases the chance that your emails go to the inbox instead of the spam folder.
- If you are using WooCommerce, SureCart, or other platforms, it’s better to rely on their built-in email systems for purchase-related emails. SureMembers’ emails are best used for account access and as a backup.
Automations with SureMembers
SureMembers includes triggers and actions you can use in OttoKit to help with sending emails or even more complicated workflows and automations.
Triggers (when something happens):
- Access Group Updated – fires when an access group is changed.
- User Added To Access Group – fires when a user joins a group.
- User Removed From Access Group – fires when a user is taken out of a group.
Actions (things you can make happen):
- Add User to Access Group – puts a user into a chosen group.
- Remove User from Access Group – takes a user out of a chosen group.
